FILLED - KVMR Friday Afternoon Front Desk/Receptionist

Description: The front desk/receptionist position is a key position at KVMR. The receptionist is the person who generally has the first contact with callers and visitors to the station, and is responsible for setting a friendly and helpful tone in the office. This person interacts with almost everyone at the station, and has lots of contact with people throughout the day. There are two shifts per day, Monday through Friday. Each shift is 4 hours long. We are currently looking for to fill our afternoon shift from 1:00 pm to 5:00 pm every Friday. A volunteer is expected to be present for an entire shift.

Major Responsibilities:  Primary responsibilities include answering the phones and greeting visitors, sorting mail and completing other office tasks as necessary. These other tasks may include stuffing envelopes, helping with mailings, doing ticket sales, maintaining bulletin boards, etc. Each shift will also have a list of routine duties specific to the shift (morning or afternoon). Bringing personal work or projects is recommended for slower days but KVMR business should always be given priority during your shift.

Skills and Experience Required: 

  • Willingness to learn and participate in a fun and busy office environment
  • Ability to operate a multi-line phone system and field calls in a friendly and outgoing manner, operate postage, fax, and photocopy machines and other office equipment (we can train you)
  • Willingness to maintain a neat and organized reception area
  • Must have basic computer proficiency: ability to navigate kvmr.org website, basic word processing skills and email.

Time Commitment Necessary:  Volunteers in the front desk position are expected to be available for the entire 4 hour shift each time they volunteer (see times under description). This is not to say we can’t be flexible when necessary! Frequency and regularity of scheduling shifts is open to discussion and depends on the current staffing needs of the station. Trained substitutes are also needed on an occasional to frequent on-call basis.

Training Provided:  KVMR will provide training in the specifics of the front desk duties, including use of phones and office machines, and systems and routines particular to KVMR. New volunteers will usually be asked to shadow a veteran volunteer for a couple of shifts before being asked to staff the front desk alone.

Afternoon Shift:

  • Check voicemails. Delete and forward messages as necessary.
  • Bring up website. Familiarize yourself with any new happenings listed on the home page.
  • Check front desk message board for messages from staff, current happenings, etc.
  • Check bulletin boards out front and remove and recycle any expired posters. Hang any posters that may have come in.
  • Sort and put incoming mail in broadcaster/staff/board mail boxes.
  • Leave front lobby and reception area neat and organized for the next volunteer.
